Philly Podcast Space – Terms of Service

These Terms of Service ("Terms") govern all bookings and use of the facilities, equipment, and services provided by Philly Podcast Space, LLC ("PPS," "we," "our," or "us"). By booking a session or entering our studio, you ("Client," "you," or "your") agree to abide by these Terms.

1 | Booking & Arrival

  • Booking Confirmation: Your session is confirmed once full payment is processed.

  • Arrival: Please arrive on time; your reserved window includes setup and wrap‑up. Late arrival will shorten your recording time.

  • Entry: At the black gate keypad, scroll the directory to Philly Podcast Space (Suite 301) and press Call. We will buzz you in. Proceed to the 3rd‑floor Suite 301.

2 | Studio Conduct

  • Professional Behaviour: Respectful conduct is required. PPS reserves the right to end any session—without refund—for disruptive or unsafe behaviour.

  • No Smoking/Vaping: Prohibited anywhere in the building.

  • Food & Drink: Allowed only in designated areas; you are liable for any spills or damage.

3 | Cancellations, Rescheduling & Refunds

  • No Refunds: Client‑initiated cancellations are non‑refundable.

  • Rescheduling: You may reschedule ≥ 48 hours before your start time, subject to availability.

  • PPS‑caused Issues: If a PPS technical fault forces cancellation or materially affects your recording, you may choose a full refund, complimentary credit, or reschedule at no cost.

4 | Ownership & Usage Rights

  • You own 100 % of the intellectual‑property rights in the audio and video recorded during your session.

  • Behind‑the‑scenes media: PPS may capture photos or short silent video clips that do not include your full recorded content. You grant PPS a perpetual, royalty‑free license to use this BTS media for marketing (website, social media, printed material, etc.).
    • Opt‑out: Provide written notice before your session and we will refrain from capturing/using BTS material.

  • PPS will never publish or distribute your actual recorded episode(s) without separate, explicit written permission.

5 | Capacity

  • Standard maximum occupancy is six (6) people. Larger groups require prior written approval.

6 | Infinity Experience, Virtual Sets & AI Tools

  • Our virtual sets leverage Unreal Engine, Aximmetry, and other AI‑assisted tools. These assets are properly licensed; their use does not transfer any rights away from you.

  • PPS may employ AI‑driven features (camera auto‑switching, noise reduction, file‑delivery analytics). Your recorded content is never used to train external AI models.

  • Custom AI Set Designs require a one‑time design fee per theme, payable and finalized before the session.

7 | Technical Issues

  • We maintain professional‑grade gear and live monitoring. If hardware/software failure on our end interrupts your session, we will extend, reschedule, or credit you at no extra cost.

8 | Audio Environment

Our loft‑style studio is acoustically outfitted with industry‑leading noise‑processing software to minimize incidental city noise. While absolute silence cannot be guaranteed, we continuously monitor levels to deliver clean, broadcast‑quality audio.

9 | File Delivery

  • Final files are delivered via secure download link within 5‑7 business days.

  • Same‑day rough copy available if you supply a compatible SSD/USB drive at session end.

10 | Client Responsibility & Indemnity

  • You are responsible for ensuring all content complies with copyright, privacy, and other applicable laws.

  • You agree to indemnify and hold PPS harmless from any claims arising out of content you provide or record.

11 | Acceptance

Booking a session constitutes acceptance of these Terms.
